Policy Guidelines

Welcome to WorldBound. These terms govern your use of our educational travel services and website. By embarking on a journey with us, you agree to foster global citizenship and respect the immersive educational experiences we provide.

Airfare & Travel Arrangements

Airfare is not included in the cost of any WorldBound trip.  Participants are responsible for purchasing their own airline tickets.  Baggage fees, travel insurance, souvenirs, personal purchases, and meals not specifically included in the itinerary are also the responsibility of the participant.

WorldBound will provide approved arrival and departure windows based on the trip itinerary and chaperone availability.  Participants must purchase flights that fall within the approved travel windows, unless prior written approval has been obtained from WorldBound.

If participants purchase flights outside the approved arrival or departure window, without prior approval:

  • The participants may be required to change their flight at their own expense.

  • Any airline change fees are the sole responsibility of the participants.

  • Any additional transportation, lodging, supervision, or chaperone costs resulting from unapproved travel arrangements will be the responsibility of participants and their families.

  • WorldBound is not responsible for costs incurred due to failure to follow flight scheduling instructions.

Required Approvals

The following approvals are required for any WorldBound trip:

  • Sponsoring Organization approval

  • Natural Parents approval

  • Host Family approval

  • School approval (when applicable)

Failure to obtain the required approvals does not relieve the participant of any financial obligation.

Participant Eligibility & Conduct

Participants must remain in good standing with their sponsoring organization, host family, school, and UCEUS policies/program requirements.  UCEUS may deny, revoke, or cancel participation due to disciplinary action, loss of agency approval, school disciplinary issues, host family concerns, behavioral concerns, agency rule violations, alcohol or drug use, illegal activity, unsafe conduct, or failure to meet program requirements.

If participants become ineligible, no refund will be issued.  Participants removed from a trip for misconduct may be sent home at the expense of the participant and family.  Any costs associated with an early return, flight changes, transportation, lodging, supervision, or related expenses will be the responsibility of the participant.

Medical & Emergency Situations

WorldBound and its representatives may obtain emergency medical treatment for the participant if necessary.  All medical expenses, prescriptions, transportation for treatment, hospital visits, and related costs are the sole responsibility of the participant and family.

Travel Delays & Events Beyond WorldBound Control

Airline delays or cancellations, weather-related disruptions, natural disasters, transportation failures, government actions, public health restrictions, and other events beyond WorldBound control may impact travel plans.  WorldBound may modify itineraries, accommodations, transportation, and activities when necessary due to safety, logistics, availability, or unforeseen circumstances.

Cancellation & Refund Policy

  • All deposits are non-refundable and all cancellations must be submitted to WorldBound in writing

  • Participants who cancel 120 calendar days or more prior to the scheduled departure date are eligible to receive a refund equal to 25% of the total amount paid.  The remaining 75% will be retained to cover non-refundable reservations, administrative expenses, planning costs, supplier commitments, and other program-related expenses. 

  • Participants who cancel 119 or fewer days prior to the scheduled departure date are not eligible for any refund.  All payments will be considered fully earned and non-refundable.

  • The cancellation date will be the date WorldBound receives the written cancellation notice.  Application fees, registration fees, deposits, credit card processing fees, and any amounts already paid or committed to airlines, hotels, transportation providers, attractions, schools, host organizations, or other third-party vendors are non-refundable under all circumstances.

  • Failure to make required payments, failure to provide required documents, inability to obtain necessary travel documents, voluntary withdrawal, dismissal from exchange program, illness, personal circumstances, missed transportation, or failure to travel in time will be treated as a participant cancellation and will be subject to this policy.

WORLDBOUND STRONGLY SUGGESTS THAT EVERY PARTICIPANT PURCHASE COMPREHENSIVE TRAVEL AND TRIP-CANCELLATION INSURANCE.

Photography & Media Release

By participating in a WorldBound trip, participants and their parents/guardians grant WorldBound permission to use photographs, videos, and other media captured during the trip for promotional, educational, social media, website, and program-related purposes unless a written opt-out request has been submitted prior to departure.

Acknowledgement

By registering for a WorldBound trip, participants and their parents/guardians acknowledge that they have read, understood and agree to all payment schedules, travel requirements, cancellation policies, participation standards, and program regulations outlined above.  Participation is voluntary and subject to continued eligibility and compliance with WorldBound, UCEUS, and sponsoring organization requirements.
